Job Description

Job Title: AR & Administrative Coordinator

Location: Tulsa, OK

Payrate: $50,000 - $60,000 / year

A growing company in Tulsa is looking for a new team member to join their dynamic team. This hybrid role combines office administrative responsibilities with managing accounts receivable functions. The ideal candidate will have some prior experience and be eager to take on more responsibility while learning new skills. They are looking to hire immediately, so don’t hesitate to apply!

Responsibilities:

  • Manage daily office operations, including handling administrative tasks, ordering supplies, and acting as the primary point of contact for incoming phone calls.
  • Accurately process and enter sales orders into the company’s system.
  • Coordinate and prepare all shipping documentation for outgoing orders, ensuring timely shipment tracking.
  • Generate and send invoices to customers, handling a moderate volume of transactions.
  • Serve as the primary point of contact for customers regarding billing inquiries and issues.
  • Develop and present reports on open invoices, following up with customers as needed to resolve outstanding balances.
  • Provide weekly reports to management on billing and payment statuses.
  • Conduct reconciliations and ensure accuracy in financial records.
  • Manage the application of customer payments accurately.
  • Handle special requests and tasks from management and executives as needed.

Requirements:

  • At least 1 year of experience in a similar administrative or billing role.
  • Experience using an ERP system is preferred.
  • Proficiency in Microsoft Excel.
  • Excellent written and verbal communication skills with both peers and customers.
  • Strong attention to detail and a commitment to maintaining accuracy.
  • Ability to manage multiple tasks efficiently and meet deadlines.
  • Positive attitude and a team-oriented approach.
